Introduction

Scout is operated by Scout RE, Inc., a Delaware corporation operating at scout-re.com (and legacy domain parcelmatch.ai). This privacy policy explains how we collect, use, disclose, and safeguard your information when you use our platform. By using Scout, you agree to the collection and use of information in accordance with this policy.

Information We Collect

We collect the following categories of information when you use Scout:

  • Account info: email address, name, and phone number collected at registration via Clerk.
  • Payment info: handled entirely by Stripe. We never see, store, or process full card numbers or bank details.
  • Property research data: searches you run, properties you save, lists you create, and owner contacts you store.
  • Outreach data: email campaigns, personalized letters, and postcards you send via Resend and Lob.
  • Usage analytics: page views and feature-usage events collected by PostHog (event names include chat_v2_*, property_viewed, search_run, and similar).
  • Error logs: JavaScript and server errors captured by Sentry to help us fix bugs.
  • LLM interactions: prompts you send to the Scout AI assistant and the responses returned, routed through Anthropic and traced in Langfuse for quality and safety monitoring.

How We Use Information

We use the information we collect to:

  • Deliver, operate, and maintain the Scout platform and all features you access.
  • Process your property searches and surface distress signals, owner data, and AI-generated insights.
  • Improve the accuracy of our models, scoring algorithms, and AI responses using de-identified, aggregated data.
  • Provide customer support and respond to your questions.
  • Send transactional communications (receipts, password resets, material policy changes).
  • Detect fraud, abuse, or violations of our Terms of Service.
  • Comply with applicable law and legal process.

How We Share Information

We do not sell your personal data. We share data only with the following categories of subprocessors, each bound by data processing agreements:

We may also disclose information when required by law, court order, or to protect the rights, property, or safety of Scout, its users, or the public.

California Privacy Rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) grant you the following rights regarding your personal information:

  • Right to Know: request a copy of the personal information we have collected about you in the past 12 months.
  • Right to Delete: request deletion of your personal information, subject to certain exceptions.
  • Right to Correct: request correction of inaccurate personal information.
  • Right to Opt Out of Sale / Sharing: we do not sell personal information. We share data with subprocessors as described above, but this does not constitute a "sale" under CCPA.
  • Right to Non-Discrimination: exercising your privacy rights will not result in denial of service or a different price.

To exercise any of these rights, contact us at privacy@scout-re.com. We will verify your identity before processing the request and respond within 45 days as required by law.

Children

The Scout platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us at leo@scout-re.com and we will delete that information promptly.

Security

We implement industry-standard security measures to protect your information:

  • All data in transit is encrypted using TLS 1.2 or higher.
  • User authentication is managed by Clerk, which provides secure session tokens and supports MFA.
  • Payment data is processed by Stripe, which is PCI-DSS Level 1 certified.
  • Server access is restricted by SSH key authentication and firewall rules.

No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we maintain commercially reasonable safeguards and will notify affected users in the event of a data breach as required by applicable law.

Retention

We retain your personal information for as long as your account is active. Upon account cancellation or termination, your data is deleted within 30 days unless a longer retention period is required by law or to resolve an active dispute.

Backup copies may persist in encrypted cold storage for up to 90 days before being permanently overwritten.

International Transfers

Scout is based in the United States and most of our subprocessors store and process data in the US. However, some subprocessors (including Anthropic and Google) may process data in other jurisdictions. Where required by applicable law, we rely on Standard Contractual Clauses (SCCs) or other appropriate transfer mechanisms to protect your data when it is transferred outside the European Economic Area or other jurisdictions with data transfer restrictions.

Changes to this Policy

We may update this privacy policy from time to time. For material changes, we will email you at the address on file at least 14 days before the changes take effect. Continued use of Scout after the effective date constitutes acceptance of the revised policy. The "Last Updated" date at the top of this policy reflects when the most recent revision was made.
